Content Creation Guidelines

This section provides guidelines on how to create content for That Sale as well as advising on the best way to get your content certified and promoted. If you are looking to answer the question "What do I get out of That Sale?", you should read our About Section.

ThatSale.co.uk is built to use content created and reviewed by our members

We want to be the first stop for anyone in the UK who is looking for a great sale or bargain and to do this we want the most comprehensive list of sales available anywhere.

We feel that the best way to ensure that we have the most complete list of sales is to allow our members to add the retailers, sales, brands* and outlets that they know about.

This means that small local shops get exposure to the right people looking for what they offer as effectivly as it does for any of the big chains and allow our users to get the most complete and accurate picture of the offers that are out there for them.

We want to make it as easy as possible for our members to add high quality content to That Sale, so that it complements the sales and bargains we are able to track down and add ourselves. If you think we can improve something then Let Us Know.

Adding Content for the First Time

If this is the first time you are adding something to That Sale we suggest the following approach:

  • First locate or create an entry for the retailer (if you create make sure you publish) Add a Retailer
  • Second create an entry for each of the outlets (stores) for the retailer and publish them (Go to Retailer Page to Add Outlets)

Then, if you have a current promotion (meeting our definition) that you would like people to know about:

  • Third create a sale entry and publish it. (Go to Retailer Page to Add Outlets)

You will only ever need to create your retailer and outlet entries once. After you have published, we will need to certify your entry (retailer, sale, outlet) before it is fully availiable on the site. If you make changes to an entry we will also need to certify those changes.

Content Types

There are five main items we look to share information about at That Sale:

Each of these items can be created and maintained by our members and once checked, promoted to all our other users. The standard creation process is:

Enter Details

Each content item has a number of fields that need to be completed before it can be added as well as optional fields.

The more complete an entry is the more likely it is to be certified and promoted.

In many cases the fields are used to filter and sort entries and where a field is blank the item it relates to will be filtered out or appear at the bottom of the list.

To ensure that your content is seen by as many people as possible it is best to complete as many of the fields as possible.

Categorise (Does not apply to reviews)

We have over three hundred categories at three different levels of detail. Before any content can be published (made live) so that our users can see it, it must be categorised.

It is important that you are as accurate as possible when categorising, as poorly categorised content will not be certified or promoted.

Remember that chosing too many categories for a content item will mean it loses its "Specialist" status and it will therefore be seen by less visitors and members.

Some caegories are twinned and in those cases it is not neccesary to select both, for example (Fashion->clothes->girls is twinned with Kids->girls clothing) this is explained more in the categorise section.

Categories selected for a sale or location can only be chosen from the categories already selected for a retailer.

Add Brands* (Does not apply to reviews)

Only applies to retailers and sales.

For a new retailer you will be offered the opportunity to link in existing brands that the retailer sells, or create new brands if they do not exist.

For new sales you will be offered the opportunity to link in brands already linked to the retailer.

Add Outlets (Does not apply to reviews)

Only applies to retailers and sales.

For a new retailer you will be offered the opportunity create new outlets from entry "check page" or the "detail page".

For new sales you will be offered the opportunity to link in outlets already associated with the retailer.

User Check and Publish (Does not apply to reviews) You are encourged to check the entry before you click on the "Publish" button and take the content live. At this point it will be visible to any member or user who has turned the "Certified" filter off and the That Sale team will be notified that it is there to be checked by them.
That Sale Check and Promote**

We are notified of any new content that is published or published content that is edited and will check it as soon as possible.

Based on the quality of the content entry we can decide if we:

  • Certify & Promote
  • Certify
  • Check
  • Unpublish
  • Suspend

Details on this choice and the implications can be found in the Promote section of this page.

Reviews are not promoted.

That Sale reserves the right to alter or change any of the content that you have provided if we feel it will make it more accurate or valuable to our members.

When you edit a content item, it will lose it's certification until That Sale has had a chance to check the changes.

Where content is deemed unsuitable we will try to work with you to improve it, in extreme cases we will suspend members for creating unsuitable content.


In addition there is one other content type that relates to these, that our members are able to create. This is only visible to the member who created it and the team at That Sale.

Retailers


A retailer is anyone who is selling a product (rather than a service), although the ultimate judgment of who is a retailer remains with us.

Retailers need a distinct branded retail store or website (so we only allow Baby Gap rather than just Gap because there are dedicated Baby Gap stores).

We will only accept one entry for a retailer, it may not be the first entry we receive but it is likely it will be. We retain the right to alter an entry if we feel the alterations improve the experiance for our members.

If you create a retailer you retain the right to edit that entry unless the owner (or a member of staff) wishes to take over see "Claim Official Representative State" below.

If you own or work for a retailer and an entry already exists for that retailer then you claim rights over that entry, see "Claim Official Representative State" below.

A member who has official representation of a retailer who is an active contributor to That Sale will be offered the opportunity to "lock" a retailer, this will prevent other users adding sales, brands* or outlets to the retailer.

Any member can add a sale, brand* or outlet to any retailer, unless it has been locked. The Member responsible for the retailer can edit these entries.

Required Fields:

Valid Inputs need to be provided for these fields before a retailer can be categorised.

Retailer Name

Retailers names need to be unique, for a given name we will certify the first retailer entry that meets our requirements. Additional entries for the same retailer will not be used by the That Sale team (but we may use the content to improve the original entry). Retailers with the same name as an existing retailer will need to alter how their name appears for their That Sale entry.

Description This allows you to sell your retailer and why people should be interested in sales held by it, try to use words that people will search for when looking at retailers.
URL

We require a URL for retailers, if you do not have a dedicated page then we suggest you use your Facebook or Twitter page here.

This URL must be the shortest possible link to arrive at the retailers home page, no affiliate links may be used here.**

Optional Fields:

These fields are not required but will impact on the quality of the entry and therefore the chance of it being Certified and Promoted.

Keywords

Place words in here that do not fit naturally into your description but you would still likes searches to pick up.

Image

The retailer image is used in a number of places around the site and provides an opportunity to attract people to your logo.

If no image is provided we will use our logo in it's place and your entries will lose some of their unique appeal.

Images uploaded will be converted into a 72px by 72px image with the longest side changed to 72px and the ratio retained.

Images uploaded need must not have a side that is longer than 400px and should be of modest data size.

Availibility

This allows you to set what type of store you have ("Online", "In-Store" or "Both").

Visitors and members can filter for the type of store they want.*

By default we assume your store is availaible online and in-store.

Online Return Policy

This allows you to set how your online returns policy works (if you sell online).

Users can filter for retailers that offer the return policy they desire.*


Claim Official Representative State

It is possible for the owners or employees of retailers to claim official representative status, this will allow you to manage the entry for the retailer and prevent the creator from doing so.

All members will still be able to add sales, brands* and outlets to the retailer unless it is locked.

A retailer will be locked if the user who has been granted official representative status is an active contributor to That Sale ensuring that the retailers details and sale information is kept up to date.

To claim official representative status you will need to register on That Sale wilth an email address that we can verify as belonging to or associated with the retailer.

To claim the status go to the Details Page for the retailer, select the "Other" tab and click on the button marked "Claim Official Representative State", we will then review you claim.

Sales

A sale is any event where a retailer is offering items at a lower price than they have sold them at before, we expect sales to adhere to the pricing practices guide, administered by the Department of Business, Innovation and Skills.

A sale can only belong to one retailer, and must end later than 24 hours after it is entered into the That Sale. This means that you can run a one hour sale but it must me entered on That Sale at least 24 hours before it begins.

A sale can be added by any user to any retailer, provided that the retailer has not been "locked" (for an explanation of a locked retailer see the retailer entry on this page).

If you create a sale you retain the right to edit it.

When creating a sale you can specify the brands* and outlets the sale applies to.

A sale on That Sale needs to cover a range of items. There must be at least ten items in the sale, at the start of the sale (where an item is different things rather than units of the same thing).

Required Fields:

Valid Inputs need to be provided for these fields before a sale can be categorised.

Sale Name

A name to attract users to the sale entry.

Description This allows you to sell the sale and why people should be intersted in it. Try to use words that people will search for when looking at sales like this.
Sale Starts

This is the date the sale starts or if it has already begun started.

Sale Ends

This is the date that the sale will end, if you do not know the date we suggest you set it to a week and keep checking.

If the start date is changed, the end date will default to one week later with an expiry time of one second before midnight.

Sales may not be set to end earlier than 24 hours after the current time.

We will check active sales and should we find that a sale date is wrong, we will close the sale and record it as an issue against the user account of the user who last edited the sale.

Availability

Availaiblity looks at in-store availability and can be marked as "Not in stores", "Selected Stores" or "All Stores".

If "Not in stores" is selected then the "Online" field must be selected.

If "All Stores" is selected then all outlerts for the retailer will be included by default.*

If "Selected Stores" is selected then no outlets for the retailer will be included by default.*

The default value is "All Stores".

Optional Fields:

These fields are not required but will impact on the quality of the entry and therefore the chance of it being Certified and Promoted.

URL

Where possible the link should point to the most relevant page for the sale entry, rather than a generic one for the retailer or a part of the sale.

If no URL is provided then the entry will use the retailer URL.

You may use your own affiliate link for a sale URL, provided you follow the rest of the guidance.

URL is Affiliate Link

If you add a sale to a retailer that you do not manage and use an affiliate link, this allows you to stop the manager of that retailer changing the link.

Sale End Date is fixed

If you know that the sale has a fixed closing date then mark this box.

Online

This indicates if the sale is availaible from the retailers online store.

# items in the Sale

This is the number of unique items that appear in the sale (not a count of the number of units for the same item).

This is used as a filter, for people looking for a sale of certain sizes.

Sales that have been running more than two months and do not list the number of items in the sale are classed as Factory Outlets, see Factory Outlets below to understand more about this classification.

Sale Covers All Brands

If selected, this will link all brands that are linked the retailer to the sale by default, this can then be changed later.*

If not selected then no brands are linked to the sale by default, this can then be changed later.*

Sale Covers All Departments

If selected this will link all categories for the retailer to the sale by default, this can then be changed later. This is the best option for a store wide sale.

If not selected then no Categrories are linked to the sale by default, this can then be changed later. This is the best option for sales from only a few select categories.

Type of Sale

This allows you to specify the type of sale, from one of three major categories:

  • Discount - All items reduced by an amount or percentage
  • Multi-Buy - Buying one item reduces the price of others
  • All Items Under - All items in sale under a certain price
  • Other - None of the above

This can be used as a filter by our members when looking for specific kinds of sales, if not selected the sale will not appear in these filtered lists.

Details of Sale Type

This field will only appear if "Other" is selected for Sale Type and allows a brief description of the type of sale.

Maximum % Off

This is the maximum % off availaible covering at least (10%) of the items in the sale.

Visitors and members can sort sales by this field, if nothing is entered the sale will appear at the bottom of a list sorted like this.

Typical % off

This is the average % off all the items in the sale covering at least 50% of the items in the sale.

Visitors and members can sort sales by this field, if nothing is entered the sale will appear at the bottom of a list sorted like this.

Lowest Priced Item

This should contain the value in Pounds of the cheapest item in the sale.

Visitors and members can sort sales by this field, if nothing is entered the sale will appear at the bottom of a list sorted like this.

Sale Code

If a sale requires a code to get the discount, or adds additional savings if a code is given then that code should appear here.

Code adds extra discounts to sale.

If a code is provided in the "Sale Code" field and it adds to the sale discount rather than being required it should be added here.

Sale Displays Original Price

If the sale shows the pre-sale price for the items in the sale then this field should be marked.

Visitors and members can filter sales by this field, if this field is not selected the sale will not appear in that filtered list.

Sale Shows RRP

If a sale shows the recommended retail price for items in the sale then this field should be selected.

Visitors and members can filter sales by this field, if this field is not selected the sale will not appear in that filtered list.

This sale uses an in-store voucher

If the user is required to present a voucher to qualify for the sale price then this field should be selected.

Sales History

Each time a sale is updated we take keep a record of the values that were used.

We make elements of this record available to our members as part of the "History" tab on the Sale Detail page.


Factory Outlet

When a sale has been running for more than two months we check to see if the number of items still on sale are greater than during the two months. If there are more on sale then we class the sale as an "Factory Outlet".

If the number of items in the sale is not provided and the sale is over two months then we class it as a Factory Outlet.

Users can filter so they do not see sales that have been classed as a Factory Outlet.

Brands will be added to the site in the next few weeks

Brands*

A brand is a set of products manufactured and sold under a certain name, brands on That Sale must be sold in more than one retailer or retail group.

We will only accept one entry for a brand, it may not be the first entry we receive but it is likely it will be. We retain the right to alter an entry if we feel the alterations improve the experiance for our members.

If you create a brand you retain the right to edit that entry unless the owner (or a member of staff working for the brand) wishes to take over see "Claim Official Representative State" below.

If you own or work for a brand and an entry already exists for that brand then you claim rights over that entry, see "Claim Official Representative State" below.

A brand can be linked to any retailer, sale or outlet. The brand manager is not able to control this but can report an issue if there is a false link being made (any user can raise an issue with a content item if there is a problem with it).

Required Fields:

Valid Inputs need to be provided for these fields before a brand can be saved.

Brand Name

Brand names need to be unique, for a given name we will certify the first brand entry that meets our requirements. Additional entries for the same brand will not be used by the That Sale team (but we may use the content to improve the original entry). Brands with the same name as an existing brand will need to alter how their name appears for their That Sale entry.

Outlets

An outlet is a physical store that can be located on a map.

An outlet will always be owned by a single retailer.

An outlet can be added by any member to any retailer, provided that the retailer has not been "locked" (for an explanation of a locked retailer see the retailers entry).

If you create an outlet you retain the right to edit it.

When creating an outlet you can specify the brands* that it sells.

Required Fields:

Valid Inputs need to be provided for these fields before an outlet can be saved.

Outlet Name

A name to attract users to the outlet entry.

Description This allows you to sell the outlet and why people should be intersted in it. Try to use words that people will search for when looking at outlets like this.
Postcode

We require a valid UK postcode for each outlet that is added to the system.

Optional Fields:

These fields are not required but will impact on the quality of the entry and therefore the chance of it being Certified and Promoted.

URL

Where possible the link should point to the most relevant page for the outlet entry, rather than a generic one for the retailer.

If no URL is provided then the entry will use the retailer URL.

You may use your own affiliate link for an outlet URL, provided you follow the rest of the guidance.

URL is Affiliate Link

If you add an outlet to a retailer that you do not manage and use an affiliate link, this allows you to stop the manager of that retailer changing the link.

Address Line 1

This line can be left blank but will prevent us from sharing the full outlet address with our users.

You need to ensure that it is a valid first line for the given Postcode.

Address Line 2

This line can be left blank.

This allows for a second address line if required.

Address City

This is a field to hold the name of your city, town or village.

Address County

This field allows you to add the county the outlet is in if you choose to.

Keywords

Place words in here that do not fit naturally into your description but you would still likes searches to pick up.

Reviews

A member is able to review any of the following content items.

  • Retailer
  • Sale
  • Brand*
  • Outlet

Members are only able to see reviews that have been certified and only certified reviews count towards an content items rating.

Ratings and descriptions in reviews should be reasonable and where possible backed up by specifics.

Required Fields:

Reviews only have two fields and both are required. Valid Inputs need to be provided for these fields before a review can be saved.

Description

Provide an explanation of your reason for giving the content item the rating you are giving it.

Rating

A score out of 10 for the content item.

The default is set to 5.

Issues

A member is able to report a problem with (raise an issue against) any item of content.

When a problem is reported That Sale will investigate it as soon as possible and take any action we feel is appropriate.

You can raise an issue by going to the Details Page for any item of content and clicking on the "Report a Problem" button, this is often under the "Other" tab.

You can view issues you have raised in the past, their current state and our reponse by going to the same place you raised it and clicking on the "View Existing Issues" button that will be visible if you have raised an issue.

You can raise an issue against the following content types:

  • Retailer
  • Sale
  • Brand*
  • Outlet
  • Review*

Only the member who raised an issue and the team at That Sale can see any issue.

Content Management

In this section we summarise the rules regarding who can edit what content.

The That Sale team can always edit any content.

Retailer

The creator of a retailer can edit the details of the retailer and the categories unless "Official Representative Status" has been granted to a different user.

A user granted "Official Representative Status" can edit the details of the retailer and the categories.

Any member can add a sale or outlet to a retailer unless it has been locked.

Any member can link a brand to a retailer unless it has been locked.

Any member can review a retailer.

Any member can report a problem with a retailer entry.

Sale

The creator of a sale can edit the details of the sale, the categories, the brands* and the outlets associated with that sale.

Anyone able to edit the details of the retailer the sale belongs to can edit the details of the sale (and what brands* and outlets the sale is associated with) but not the sale URL if it has been affiliate locked by the creator of the sale.

Any member can review a sale.

Any member can report a problem with a sale entry.

Brand*

The creator of a brand can edit the details of the brand and the categories unless "Official Representative Status" has been granted to a different user.

A user granted Official Representative Status can edit the details of the brand and the categories.

Brands can be linked by members to retailers, sales and outlets based on there rights to those content items.

Any member can review a brand.

Any member can report a problem with a retailer entry.

Outlet

The creator of an outlet can edit the details of the outlet, the categories, and the brands* associated with that outlet.

Anyone able to edit the details of the retailer the outlet belongs to can edit the details of the outlet (and what brands* the outlet is associated with) but not the outlet URL if it has been affiliate locked by the creator of the outlet.

Any member can review an outlet.

Any member can report a problem with an outlet entry.

Review

The creator of a review can edit the details of the review.

Any member can report a problem with a review entry.

Issue

The creator of an issue can edit the details of that issue, until it has been reviewed by someone from the That Sale team.

We reserve the right to grant or take away users abilities to edit and create content if we feel it will benefit our members to do so.

Certification

The That Sale team certify content that we feel is not offensive, appears accurate and will be useful to our members to see.

Users of That Sale can view content that has not been certified by turning off the certified filter. This filter is on by default.

Certified content that is edited will lose its certification until reviewed by a member of the That Sale team.

Members can claim That Sale certification for content they have created on other sites provided that certification has been granted and there is a clear link back to the That Sale entry for the content.

Specialisation

We have an algorithm to identify specialist content, that is based on the number of categories associated with a content item.

We are seeking to identify stores that have focus on a tight selection of items as we feel this will be of interest to our users.

Users are able to turn on a specialist filter so that they only see content that is marked as specialist.

The current algorithm for specialist meets one of the the following criteria:

  • Only marked with Categories that fall under one top level Category
  • Only marked with 5% or less of all categories

We reserve the right to change the algorithm at any point if we feel it will improve the experiance for our users.

It is important that you remain aware of the twinning that happens in categories, this is where two categories are treated as being the same. There is no reason to select two categories that are twinned when one will do. Doing this risks losing your specialist status when you do not need to. See the Categorisation tab for more details.

Categorisation

We have over 300 Categories arranged across three levels from the top category down to more specific categories underneath.

If you are able to edit a content item you are also able to categorise it.

Categorisation is an important part of helping our users to find the sales that interest them and we expect content creators to categorise carefully. Content that is not correctly categorised will not be Certified or Promoted.

To help our users identify specialist stores we have a specialist filter they can turn on so they only see content marked as specialist. The more categories you select the less chance you will be considered a specialist and the less people will see your content. See the Specialist Tab for more details.

Categorisation Twins

A number of our categories are considered equivelent and these are called twins, this allows our users to follow a natural journey through the categories and still see the content they expect and it allows you the content creator, to only tag content once.

For example Fashion->clothes->girls is twinned with Kids->girls clothing, if you tag either of these then the other is considered tagged as well (but not for the purposes of the specialist calculation).

Factory Outlet

"Factory Outlet" is a setting that we apply to sales that appear to be used for the purpose of ongoing stock clearance rather than a traditional sale.

We include sales classed as "Factory Outlet" in our sales list by default but our users are able to set a filter so that they do not see these sales.

Currently if a sale meets the criteria below we class it as a Factory Outlet:

  • A sale has been running for more than two months
  • The number of items in the sale after two months is greater than some point during the first two months, or we do not know the number of items in the sale

We reserve the right to alter these criteria at any time if we feel it will allow our users to have a better experiance.

That Sale Check and Promotion

When we check a new content item or a content item that has been edited we will make decision about how to treat it. The more fields that are completed, the more completely the fields are filled and the closer the content is to these guidlines, the greater the chance we will certify and promote it.

We would love to certify and promote all content that is added to That Sale but will not compromise on quality, the acid test is the amount of benefit our visitors and members would get from it.

Check States:

When we review new or edited content we can choose to do any of the following.

Certifiy and Promote

This is our aim with each piece of new content we review, when we do this content will be:

  • Put into a certified state and appear by default in any list of the content a user looks at
  • Propogated into the suggestion list of every member who has indicated an interest in that type of content
  • Added to our daily and weekly alert emails for users who have selected to receive this kind of content
  • Tweeted as part of our Twitter feed
  • Entered on our Facebook page

Content tagged as "Adult" will not be able to be promoted on our Twitter feed or Facebook page.

Certify

Content that we feel only just meets these guidelines will be certified but not promoted.

Content that is certified will appear by default in any list of the content a user looks at.

Check

Content that we feel does not follow these guidelines, but is not offensive will put checked but not certified. It will be visible in lists of that type of content where the user has turned off the certified filter.

Unpublish Content that contains faults or that we feel contains mistakes that do not allow us to check it will be unpublished until it is corrected. Where possible we will try to contact the creator and suggest what can be done to improve.
Suspend Content that we feel is not suitable for That Sale and is damaging to our users experiance will be suspended. This may also result in the user who created it being suspended.

In addition we are able to promote content at any point, even if it has been promoted in the past.

These are terms that we feel have a particular meaning when used on this site and have not been explained elsewhere, if you feel we are missing one please let us know and we will add it.

Live This refers to the state of any content that has been published and is visible to users of That Sale.
Unpublished This is content that is not live and is only visible to members who have management rights for it.
